Recommind Introduces Auto-File

31 January 2006

Recommind, the leading provider of search and automated categorization systems for law firms, announced today the introduction of Auto-File, the third module in the MindServer Legal software suite. Auto-File is a categorization product that automatically extracts filing information from documents and populates data fields with such details as author, client, document type, jurisdiction, court, judge, case number, governing law, plaintiff, and defendant. This latest addition to the MindServer Legal product suite increases the speed and accuracy of document filing, reducing data entry mistakes and saving valuable non-billable time.

Auto-File frees lawyers and paralegals from the burden of filling in data fields manually. Users simply save a document in the firm's document management system, and Auto-File automatically handles the electronic filing details. Based on the same technology that enables Recommind's concept searching, Auto-File uses cues and context to match data to corresponding data fields.

Default data fields available in Auto-File are author, office, client, document type, governing law, courts, judges, plaintiff, defendant, representing firms, representing counsel, document date, and case number. Auto-File can also be customized to include additional firm-specific metadata. The module automatically updates fields when documents are revised and can crawl legacy information to complete missing fields or flag incorrect data.

Thanks to more complete and accurate data fields, Auto-File increases the efficiency of Smart Filters within MindServer Legal Enterprise Search. Smart Filters allow users to focus search results based on populated data fields, enabling them to perform complex legal research in a matter of seconds. If attorneys receive general results for "patent infringement," they can then select from a series of Smart Filters, choosing data fields such as a specific document type, court, and/or judge that is most relevant to their search needs, and can quickly narrow down the search results.

"With the addition of Auto-File to the MindServer Legal software suite, Recommind has delivered a complete end-to-end knowledge management system," said Robert Tennant, Recommind's CEO. "Our MindServer Legal product suite now includes Enterprise Search, which enables legal teams to search across multiple databases and repositories from a single location; Matters & Expertise, which quickly identifies relevant matters and the attorneys who worked on those matters; and now Auto-File, which automates electronic filing and helps ensure that filing data is accurate and painless. The complete MindServer Legal Suite was designed for the legal profession and is tailored to meet the information needs of lawyers by working the way they work, not the way technology forces them to work."

Auto-File works with any document management or record management system. Auto-File can be implemented as a module of the MindServer Legal software suite or as a standalone product.
